What is an AI-scan?
The AI-scan examines up to three key work processes. ‘AITJE’ looks at things alongside you: from a recurring task to the software, information and people behind it. During the intake, we decide together what deserves the most attention.
This makes it clear where an adjustment is worthwhile, what is required to make it, and where it is better not to make any changes yet. You will receive a practical report that will help you make targeted choices.
You don’t need to have an AI plan yet. A time-consuming task, or uncertainty about your current AI, is a good starting point.

What ‘AITJE’ investigates
Where does a query come in? Where is the information located? Who checks the result? The initial assessment of AI subscriptions, costs and data flows forms part of the scan. We reuse these findings in follow-up work.
Step by step: what do people do, what can software do, and where does AI help?
Which steps take time, get stuck or are carried out twice?
Where is information stored, and how does it move from one system to another?
Which models and subscriptions do you use, and what benefits do they offer?
Which data, checks and dependencies warrant attention?
Common questions
The scan can examine various issues. Choose an example to see what AITJE looks at and what course of action might follow.
An employee searches through emails, documents and business software to answer a single customer enquiry.
“Can AI bring that information together?”
Having your own knowledge assistant could be a way forward. The scan clarifies which sources, links and access rules are required for this.
How it works
A brief intake, a half-day of research and a targeted assessment. You agree the scope, location and price in advance with AITJE.
During a brief intake, you’ll select up to three key processes and the staff involved. This ensures the assessment remains focused and well-organised.
Discussions and concrete examples of work demonstrate how tasks, systems and information are interlinked. This can be done on-site or remotely.
AITJE weighs up the opportunities against the effort, costs, risks and expected value for your organisation.
You will receive the findings, priorities and recommended next steps. We will then discuss the report for around half an hour. Where reasonably possible, we will include a rough estimate of costs or savings.
The scan consists mainly of interviews and process analysis. With your permission, AITJE will take a targeted look at relevant software or examples. Full system access is not a standard requirement.
What you’ll receive
You will receive a concise overview of the findings, with substantiated opportunities and a logical sequence. This will help you decide where to allocate your time and budget.
The processes and systems examined, together with the current use of AI.
Specific possibilities, with their expected impact on work, quality or costs.
What needs attention first, and what can wait?
A targeted recommendation, including points for consideration and, where necessary, further investigation.
A rough estimate of costs or savings will be included where it is reasonably possible to calculate this.

Case studies
These completed projects demonstrate how knowledge, work processes and the use of AI can come together in a practical application.

Estate agency / In-house expertise & website chat
For an estate agency, AITJE linked Realworks, email inboxes and Google Drive to its own AI assistant. Staff chat with the knowledge relevant to their role. The website chatbot uses a separate, carefully selected knowledge base from the same environment.

E-commerce / Chargers & electronics
AITJE built a workflow for a leading Dutch online shop specialising in chargers that supplements product descriptions with technical charging data, translates them for four markets and uploads them directly back into the CMS. Without any external costs per AI token.

Development agency / Assistant, Coder & model management
AITJE set up a shared AI environment for a development agency, featuring Assistent, Coder and ten models to choose from. A shared token pool of €350 per month replaces nine subscriptions to €200. Model usage and token costs per task can be tracked via Asana.

Not necessarily. The scan can be carried out on-site or remotely, depending on what is necessary and practical.
Yes. Your existing work is the starting point. ‘AITJE’ examines where information searches, repetitive actions or other tasks could potentially be improved. You do not yet need to have chosen a model, application or AI plan.
During the intake, you’ll discuss which processes and staff members are relevant. Specific examples of the work, the software used and any AI subscriptions will help us understand the situation. Together with AITJE, you’ll decide what information is required for this and what may be shared.
Yes. A basic assessment of AI usage, subscriptions, costs and data flows is included. We will reuse these findings for any follow-up work. A more in-depth model comparison, workflow customisation and management are agreed separately via Token management & optimisation.
The scan identifies the AI services in use, data flows and clear areas for attention. Thoroughly verifying settings and processing or storage by providers may require further investigation. With an AI data location check], you only pay for the additional in-depth analysis; we incorporate the findings from the scan.
